Project Administrator

Naval Ship Management (NSM) is a Joint Venture between Babcock and UGL and currently has an exciting newly created opportunity for a suitably qualified and experienced Project Administrator to join NSM based in Sydney.

The Project Administrator provides on-site administration support to the NSM project team to ensure timely performance and compliance with company and customer requirements.

Key responsibilities for this position include:

  • Maintenance and recording of all EMA project data

  • Raise and distribute Purchase Orders to Suppliers and Subcontractors

  • Run project data reports in SAP

  • Monitor and control Task Progress Completion Certificates

  • Record and distribute Daily and Weekly minutes of meetings

  • Liaise with subcontractors for security/access requirements

  • Invoice/purchase order dispute resolution

  • Prepare documentation to ensure progress invoices and contractual claims are substantiated and submitted accurately and on time

  • Review and report on project costs and budget requirements

  • Monitor costs and reconcile progress claims and forecasts

  • Maintain a document management filing system

  • Provide administration services such as processing of accounts and maintaining project registers as required

  • Control payments to subcontractors and suppliers by closely scrutinising accounts


About You

This role will align with an experienced Project or Program Administration professional that ideally has a proven track record of delivery within a complex engineering environment. You will possess excellent interpersonal and analytical skills. Additionally you will be a confident team player that has a passion for identifying and driving improvement activities and enjoys working within a team environment but can also work autonomously as required. You will have exceptional time management and organisational experience coupled with an ability to prioritise, plan and organise your workload and timeframes with a strong attention to detail. The successful candidate will have high-level computer skills and a proven ability to adapt and learn new systems and processes quickly.
