Naval Ship Management (NSM) is a Joint Venture between Babcock and UGL and currently has an exciting opportunity for a suitably qualified and experienced Contract Administrator to join our Landing Helicopter Dock Project in Garden Island, NSW.

The Contract Administrator provides administrative support to ensure project controls and compliance are achieved in accordance with Company and Client requirements.

The key accountabilities for this new position will include but not be limited to:

  • Processing and recording Project Variations in accordance with head contract and subcontracts;

  • Reviewing and approving Subcontractor Quotes and Purchase Orders up to the delegated authority

  • Processing all invoices in accordance with head contract and subcontracts;

  • Collate and provide Project Health data to support internal and external reporting requirements;

  • Ensure tasks are closed out in a timely fashion within SAP;

  • Support Production Managers to contractually closing projects;

  • Support Finance as required to ensure progress and contractual claims are substantiated and submitted accurately and on time;

  • Collate SAP data to support estimate at completion reviews in accordance with project budget;

  • Maintain a project data repository;

  • Control and Issue Work Instructions’ and coordinate task acceptance, price validation and request for quote with subcontractors;

  • Processing and recording other direct variable costs in accordance with head contract and subcontracts;

  • Provide assistance to the Production Manager to support the close out report acceptance.

  • Assist Project Management teams in implementing improvements within respective projects

  • Maintain accuracy of source data and project control tools in support of cost and schedule reporting

  • Work with Project Administrator to ensure all project activities are undertaken accurately and in a timely fashion;

  • Maintain and support project management lifecycle processes, templates and tools based on best practice and in accordance with the business management system policies and guidelines

The ideal candidate, you will ideally have the following skills and experience:

  • Highly developed skills in the use of Microsoft Excel  

  • Intermediate SAP

  • Experience in Contract or Project Administration roles

  • Excellent attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to self-manage workload in a fast-paced environment.

  • Ability to work collaboratively as part of a small team.
